Setting up a Web Article Asset

To set up a Web Article Asset, you can follow the steps below:

  1. From the Left Nav Menu, click Assets.
  2. On the Assets page, click Upload Asset. 
  3. On the Create Asset pop-up window, select the Asset Type, Web Article.             
  4. In the Create Asset pop-up window, enter the Name of the asset. 
  5. The Title field is auto-filled based on the asset name but can be renamed.Important: When the name of an Asset reflects the content, it makes content categorization and selection easy. 
    The user is shown the Title when engaging with the Asset.

  6. Click on Choose under Folder to select a Folder for the Asset. To learn more about Folders, click here
  7. Select the Asset type from the Type drop-down list. 
    The Type list is defined at Setup > Asset Types.

  8. By default, English is selected. You can select another language from the drop-down list.  
  9. The Ungated button is set to Yes by default and cannot be toggled to No.   
  10. Click Save. 


  11. You are redirected to the Content tab of the Web Article. On this tab, enter the document's content within the editor. The editor is an HTML editor, allowing you to configure HTML-based content. 
  12. To insert an image in the Editor, click on the Image Icon from the Menu bar. 
     
  13. Add the Source link and an alternative description for the image. Then, specify the width and height values. Click Save. 


  14. After adding the required elements in the editor, click Save in the top right corner of the page.

    A confirmation message is displayed.
     
  15. Click the Setup tab to define the information of the Asset. Important: All the fields in the above window are grouped into sections, as per usage, namely, 
    • Metadata: Name, Title, Description, Type, Language, Fulfillment URL, Excerpt, Time, and Folders.
    • Options: Ungated, Opt-in Message, Hidden, and Email Template. 
    • Thumbnails: Thumbnail 1 and Thumbnail 2.
    • Catalog Fields: If you have defined catalog fields using Setup > Field Management, the fields for the Asset show up in this section.
    • SEO: SEO Title, Canonical URL, and SEO Description.  
    • Custom Fields: If you have defined custom fields using Setup > Field Management, the fields for the Asset show up in this section.

  16. Metadata Section:
    • Name, Title, Folder, Language, and Type are filled during the Create Asset process.
    • An Excerpt is a summary or preview of the asset content, used to give readers a quick overview before engaging with the full content. For Web Article Asset, the excerpt is auto-generated.

      It is limited to 200 characters.
      The excerpt is effective only on the V3 hub.
      Excerpts can also be generated using AI via the Smart Assist (Excerpt) link.
       

      Smart Assist (Excerpt): Clicking the Smart Assist (Excerpt) link opens a pop-up displaying AI-generated excerpt suggestions, each with a Use button for quick selection. 
    • Enter a Description. The description is for internal purposes. 

      Note: The maximum character length for the description is 2000.

       
    • Time: Indicates the estimated duration (in seconds) it would take to read or watch the asset. This value is system-generated based on the content length.
    • Enter an Opt-in Message. The user sees this message above the opt-in form used for providing the business email. The default message is shown below:
  17. Options Section:
    • The Ungated toggle is set to Yes by default and cannot be changed.  
    • The Hidden button is set to No; to hide this Asset in Hubs, toggle the button to Yes.

      Note: When you set an Asset to Hidden at the Asset Level, it will be hidden on all streams to which it has been added.


    • Enter an Opt-in Message. The user sees this message above the opt-in form used for providing the business email. The default message is shown below:

      • Click Tokens (optional) to use them in the Opt-in Message. Use the {{asset.name}}, {{asset.type}}, and {{asset.content.type}} tokens to refer to the Asset information dynamically. 

        Using tokens helps to prevent typos in Asset names, saves time, and reflects changes in the Asset information. 


    • You can attach a specific Email Template to the Asset. When a user submits the Opt-in form with a business email for this Asset, the email template configured here will be sent to the user. Click Preview to view the Email Template.
  18. Thumbnails Section: 
    • Thumbnail 1 (500x272 pixels) is auto-generated when you upload an Asset. However, you can also upload. The supported formats for Thumbnail 1 and Thumbnail 2 are JPEG, JPG, PNG, GIF, SVG, and WEBP.
    • Thumbnail 2 (500x660 pixels), which can be set to view at the Stream level on the Hub. Click here to learn more about Thumbnails.   
  19. Catalog Section:
    • If you have defined Catalog fields using Setup > Field Management, you can select the fields to associate with the Asset. These fields help organize and classify assets by assigning relevant metadata, making it easier to manage, search, and filter content across the platform.
    • Enter the Tags you want to associate with the content. You can define a tag by typing the tag name. Use tags to group related Assets.

       

  20. SEO Section:
    • Enter the SEO Title. The content of this field appears as the title in search engine results. This title is relevant when you are deploying Hubs. 
    • Enter an SEO description. The content of this field appears as the description in search engine results. This description is relevant when you are deploying Hubs.
      Important: When the SEO Title is not given, the search results show the Asset name as the Asset title.

      This is how the SEO title and description will appear in real time on Google Search results.
    • You can also use the Smart Assist (SEO Title and Description) beta link to automatically recommend an option that is most suitable for your asset's SEO Title and Description. Click here to learn how. 
    • Enter a valid URL in the Canonical URL field. 
      Note
      • Search engines crawl the content of each page to build an extensive index of all the words and their locations on the page. They also analyze information within key content tags and attributes, such as <title> tags and alt attributes. To prevent search engines from indexing duplicate versions of the same page, a Canonical URL can be configured.

      • The Canonical URL configured here will be automatically applied globally to all Streams and Hubs, and the Global flag will not override this setting.
  21. Custom Fields Section:
    •  If you have defined Custom fields using Setup > Field Management, you can select the fields to associate with the Asset.    
  22. Click Save.
